Employee files, attendance and payroll
From the employee file and attendance through to the payslip and the journal entry — calculated per Saudi Labor Law and GOSI, in one run each month.
When do you actually need HR software?
Payroll takes days every month
If the payroll run starts a week before month-end and passes through an attendance sheet, then an advances sheet, then an allowances sheet before it reaches a final figure, the lost time alone exceeds the cost of a payroll system. Worse, every manual transfer between two sheets is a place an error can hide until an employee complains.
GOSI contributions are calculated by hand
Contribution rates differ by the employee's nationality and registration date, and they change with regulatory decisions. Computing them with a formula in a file means every rate change requires reviewing every row — an HR system applies it to everyone once.
Wage protection files are rebuilt from scratch each time
Uploading the monthly wage file is an obligation on private-sector establishments, and assembling it by hand every cycle is repeated work with no value. A system that already knows your payroll produces the file in the required format without re-entry.
End-of-service liability is unknown until someone resigns
Accrued end-of-service liability is a number that sits in your books whether or not you calculate it. When it only surfaces at the end of a contract it becomes a cash surprise — an HR system keeps it calculated and visible at all times.
Employee data is scattered across several places
A contract in a folder, a leave balance in a sheet, an advance in a chat thread, and a salary in a fourth file. When someone asks for an employee's leave balance, a search begins instead of an answer — reason enough for a single employee record.
Payroll software or a full HR system?
The difference is not headcount — it is how many questions you want the system to answer
| Aspect | Payroll software only | HR and payroll system |
|---|---|---|
| What it solves | Calculating salaries and producing a monthly payroll run | The full employee lifecycle, from hiring to end of service |
| Employee data | Whatever payroll needs: wage, allowances, deductions | A complete record: contract, documents, leave, attendance, advances, custody |
| Attendance and leave | Entered manually as a payroll input | Recorded in the system and reflected in payroll automatically |
| GOSI and end of service | Calculated when the payroll run is prepared | Always calculated and visible as an accrued liability |
| Accounting impact | Posted manually into the accounting software | Posted automatically when the accounting system is the same one |
| When it is enough | A small, stable team with no turnover and simple leave | Continuous hiring, multiple branches, or a need for workforce reporting |
Compliance before interface
In Saudi Arabia, HR software is chosen first on a single question: does it keep you compliant?
What the system must calculate automatically
- GOSI contributions at the correct rates for the employee's nationality and registration date
- End-of-service awards under the Labor Law, accrued continuously rather than only on resignation
- Housing and fixed allowances and their effect on the contributory wage
- Overtime hours and annual leave balances with their effect on entitlements
What it must produce for the authorities
- A wage protection file in the format required for the monthly upload
- A detailed payroll run that can be reviewed and approved before disbursement
- Payslips for employees itemising entitlements and deductions
- Workforce reports solid enough to base hiring decisions on, not just to archive
Run the numbers before you subscribe
Work out GOSI, end-of-service and leave before any decision
