The question always arrives in one form: what does running a small business cost each month? The honest answer is that it depends — but the dependency itself has known items that can be counted.
This article does not hand you a single figure, because any single figure is wrong for most readers. It gives you the items, ranked by size, and then a way to estimate your own.
The most important of them appears on no invoice you pay, and in most small businesses it is the largest item of all.
The items usually counted
Asked about administrative cost, an owner usually counts three:

Software is usually the smallest of the three and causes the most anxiety — a paradox worth noticing. Many spend weeks choosing between two subscriptions a couple of hundred riyals apart, and never measure an item costing them several times that.
The external accountant is an item depending on the volume of your activity more than its size: a hundred tidy invoices a month is cheaper to process than thirty scattered ones without documents.
Collection fees get forgotten in estimates because they are deducted before the money arrives, so you never see them as an expense. They are one.
The item that appears on no invoice
The largest item in running a small business is your own time, or the time of whoever works with you. Because it never arrives as an invoice, it never gets counted.
Count it once, this way:
1. How many hours a week go into entering data, reconciling one file against another, hunting for an old invoice, and retyping a number that already exists somewhere else? 2. Multiply by four for a month. 3. Multiply by what your hour is worth — even a rough estimate.
The result surprises most people the first time. Ten hours a month does not look large, and it is a day and a half of work spent moving numbers between places.
The difference between businesses is not whether these hours exist but where they come from:
- Duplicate entry — the same operation written in two or three places
- Reconciliation — checking that the file matches the account
- Searching — for a document you know exists somewhere
All three come from one cause: data living in more than one place. This is the item reduced by structure rather than by negotiating a price.

Raises the cost:

Credit sales without follow-up — a forgotten receivable costs twice: late collection and time spent tracing it 4. Tax registration without regularity — a return gathered on its due date costs several times one read from current books
Lowers the cost:
1. Entering once — by far the largest reducer 2. The annual subscription where offered — in Snad the annual price equals ten months 3. Switching on only what you use — an app you never open still counts against your plan and gives you nothing
The general rule: cost is reduced from the hours, not from the subscription. Choosing the cheapest software and then entering data twice saves nothing.
How to estimate your own figure
Five steps give you a usable figure in half an hour:
1. List the places your data lives. Every file, ledger and app holding a number that belongs to your business. The count alone tells you a lot. 2. Count one month's operations. Sales invoices, purchase invoices, receipts, payments. An approximate figure is enough. 3. Estimate the weekly hours spent entering, reconciling and searching, and multiply by four. 4. Add what you actually pay — subscriptions, accountant, collection fees. 5. Add the two together. Hours multiplied by the value of your hour, plus what you pay.
The figure that comes out is your real cost, and in most small businesses it is far above the sum of the invoices.
To test any alternative, do not compare subscription against subscription. Run it for a full monthly cycle on your real data and record how many times you had to leave it for an outside file. That count decides, not a feature table.
