*How a written question becomes a report, practical questions for sales, purchasing, accounting, inventory and HR, and the limits of the answer*

> **In short:** How AI builds a report from a written question inside an ERP, ready-made questions for each team, from question to action, and what to check first.

**An AI report inside an ERP** is an answer built from your company's records for a question you type in a sentence, returned as a chart or table you can export. There's no template to pick and no filter to set: you write "Compare branch sales this month with last month", and the software chooses the two periods, the measure and the breakdown.

The harder question isn't "can it?" but "what do I ask?". This article shows how a question becomes a report, gives practical questions for each team, follows a question through to an action, and lists what to check before you base a decision on the answer.

## How a question becomes a report

Behind one sentence are four steps, and each is worth a glance:

1. **Understanding:** what's the measure (sales, balance, quantity), the breakdown (branch, supplier, item) and the period?
2. **Reading:** the records actually posted (invoices, vouchers, stock movements) are read within the asking user's permissions.
3. **Presenting:** a chart when the question is about a trend or comparison, a table when it's about a list.
4. **Using:** export to a spreadsheet, or a follow-up question that narrows the answer.

| What you write | What the software has to understand |
|---|---|
| "this month vs last month" | Two matching periods, with the current month to date, not in full |
| "branch sales" | Sales split by branch, from invoices rather than quotes |
| "customers with balances over 5,000" | The customer's current account balance and a clear threshold |
| "items unsold for 90 days" | The last sale of each item, and the value of what's left |

## Practical questions for each team

Good questions are short and name the measure, the period and the breakdown. These work for any business that keeps its sales, stock and accounts in one system:

| Team | Question | What it tells you |
|---|---|---|
| Sales | "Compare branch sales this month with last month" | Which branch is slipping before month-end shows it |
| Sales | "Which customers bought less this month?" | Who to call before you lose them |
| Purchasing | "How much did we buy from each supplier this month?" | Where spend is concentrated, and a basis for negotiating price |
| Accounting | "Which customer balances are over 5,000?" | This week's collection list |
| Accounting | "How much cash is in the bank and in petty cash?" | What you can actually spend now, before any large payment |
| Inventory | "Which items are below their reorder level?" | What to buy before it runs out |
| Inventory | "Which items haven't sold in 90 days?" | Cash tied up on your shelves |
| HR | "Whose documents expire next month?" | Renewals on time instead of a fine or a stoppage |

**A rule for writing the question:** start with a verb or a question word ("Compare", "How much", "Which", "Who") and name the period. "Branch sales" on its own is a phrase. "Compare branch sales this month with last month" is a question.

## From question to action

A report is worth what comes after it. In software that reads and writes the same records, the answer becomes the start of a second request:

| The answer | The next request | What happens |
|---|---|---|
| An item below its reorder level | "Create a purchase order to its supplier for the usual quantity" | A purchase-order preview waits for your confirmation |
| A customer over their limit | "Record a receipt voucher for what they paid today" | A receipt-voucher preview, then their balance updates |
| One warehouse overstocked, another short | "Move 10 cases from the main warehouse to the branch" | A stock-transfer preview between the two |
| An item that hasn't moved in months | "Update this item's price" | A preview of the new price before it's saved |

**The important difference:** the question only reads and changes nothing, so its answer appears straight away. The follow-up request writes to the books, so it's shown as a preview and isn't saved before you confirm.

## What to check before you rely on the answer

A report built from a question is fast, and that speed tempts you to trust it without looking. Five checks take a minute:

- **The period it understood:** "last month" asked on the 10th could mean the previous calendar month or the last thirty days. Read the period printed above the report.
- **The definition:** net sales after returns, or gross? Including tax or before it? The same question can be answered two ways.
- **The scope:** the report is built from the branches and warehouses you can see. A colleague in another branch may get a different figure for the same question, and that's correct, not a bug.
- **The quality of the records:** stock not counted in months, or invoices not yet entered, give a precise answer about imprecise data.
- **Big decisions:** before a big decision (financing, expansion, dropping a product), reconcile the figure with the standard report in the system.

These checks aren't distrust of AI. They're what any manager does with a report a colleague prepared.

## A Snad example

In Snad you type the question in [AI Mode](/ai), in Arabic or English. It builds the report from your records as the apps show them, as a chart or a table from the same figures, and you can export it to Excel or CSV from inside the conversation.

The questions in the table above come from the areas AI Mode works in: [sales](/sales), [purchasing](/purchases), [accounting](/accounting), [inventory](/inventory) and [HR](/hr).

Reading needs no confirmation because it changes nothing. When you move from question to action, such as a purchase order for an item below its level or a receipt voucher from a customer, AI Mode shows the operation as a preview and doesn't save it before you confirm, within your role's permissions and your branch and warehouse access.

## Frequently asked questions

### Do AI report figures differ from the system's standard reports?

They shouldn't, as long as the definition, period and scope match, because both come from the same records. If you see a difference, look at the period it understood, at tax and returns, or at which branches are included.

### Does a report need confirmation before it's shown?

No. A report is a read that changes nothing in your records, so it appears straight away. Confirmation is only for operations that write to the books.

### Why does my colleague see a different figure for the same question?

Because each user's report is built from the branches and warehouses they can see. Someone in one branch sees that branch's sales, while the manager sees the total.

### Can I export the report to Excel?

Most software that builds reports from questions lets you export the chart or table. In Snad, an AI Mode report exports to Excel or CSV.
